DEPOSIT, DAMAGE, CARD ON FILE & CANCELLATION POLICY

To secure your booking, the total rental amount and deposit is due at the time of reservation. A refundable security deposit—equal to 50% of your rental total—will also be collected to protect our equipment. As a condition of rental, a valid credit card must be placed and held on file at the time of booking. We understand that "life happens," so we perform a thorough inspection within 24 hours of return.

• Full Refund: If the items are returned in their original condition, your full deposit will be credited back to your card on file immediately.

• Cleaning & Repairs: Should an item need a little extra love, a partial cleaning fee ($5–$10) or a full cleaning fee ($20) may be deducted. If damages occur, the deposit will be used toward repairs.

• Balance: If costs are less than your deposit, we will refund you the difference. In the rare event that damages exceed the deposit, the remaining balance will be charged to the card on file. The Client authorizes Ruby's Rentals to charge the card held on file for all such overages, missing items, or unpaid fees.

• Cancellations: Deposits are non-refundable for any cancellations made within 48 hours of the appointment.

DELIVERY & LATE FEES

• Ruby's Rentals Delivery: Delivery includes drop-off to a designated, clear, and ground-level area. The Client must ensure an adult is present to sign for the items. Standard delivery does not include setup or teardown unless arranged and itemized in Section 3.

• Late Fee Policy: All rented equipment must be returned by the specific time listed in Section 1. For any tardy pickups or returns, a strict late fee equal to the full daily rental amount of each late item will be charged to the card on file for every day or partial day the item is overdue.

WEATHER HAZARD CLAUSE FOR OUTDOOR ITEMS

• Client Responsibility: The Client must monitor weather conditions and provide an alternate, covered indoor location if inclement weather threatens. Outdoor items cannot be used in rain, high winds (exceeding 15 mph), lightning, or extreme temperatures.

• Equipment Safety: Ruby's Rentals reserves the right to cancel or halt the setup of outdoor equipment if weather conditions threaten public safety or equipment integrity. Deposit is non refundable and will be charged, the remainder balance refund will be issued for weather-related cancellations on the day of the event.

LIABILITY WAIVER FOR HEATED & HEAVY MACHINERY

• Assumption of Risk: The Client acknowledges that renting and operating heated equipment (e.g., concession machines, heaters, fryers) and heavy machinery involves inherent risks of property damage, severe personal injury, burns, or death. The Client assumes full responsibility for the safe operation of all equipment.

• Release of Liability: The Client agrees to release, waive, and hold harmless Ruby's Rentals, its owners, and employees from any and all claims, demands, liabilities, or lawsuits for injuries, illness, or damages arising out of the delivery, setup, use, misuse, or failure of the rented heated or heavy machinery.

• Safe Operation: Only designated, competent adults shall operate heated or heavy machinery. The Client agrees to follow all provided safety instructions and keep equipment away from children and flammable materials.
